Booking Policies and Terms

You agree to all policies, terms, and conditions below when booking a reservation with Whistler Platinum.

Booking and Cancellation Policies

60-Day Booking and Cancellation Policy (valid for stays starting from September 23, 2024)

Book more than 60 days before arrival: You pay the service fee, 50% of the rent, plus the associated taxes at booking. You pay the remaining balance 60 days before arrival. You may cancel within 48 hours of booking and receive a refund of the amount you paid, less the service fee and associated taxes. If you cancel after 48 hours and more than 60 days before your arrival date, you can request 100% of the deposit paid as a Future Stay Credit to use for a future trip within 24 months of the original stay date, or a refund of the deposit less a 50% penalty. Cancellations made within 60 days of arrival are non-refundable. See the Book With Confidence program for exceptions.

Book 60 days or less before arrival: You pay 100% at booking. For bookings made more than 14 days before arrival, you may cancel within 48 hours of booking and receive a refund of the amount you paid, less the service fee and associated taxes. After 48 hours, payment is non-refundable, and you will not be eligible for a Future Stay Credit or refund. See the Book With Confidence program for exceptions.

Book With Confidence Policy

In general, reservation cancellations and refunds are governed by the cancellation policy in your rental agreement and confirmation. In the rare circumstances that large-scale events prevent or legally prohibit reservation completion, the Book With Confidence Policy (the “Policy”) may apply. When this Policy applies, guests can cancel their reservation and receive a refund, Future Stay Travel Credit, and/or other consideration, regardless of the reservation’s cancellation policy. The Book With Confidence Policy is not an insurance policy.

What events are covered

Book With Confidence Policy protects against the following events if they impact your stay in Whistler, occur after booking, and prevent or legally prohibit the completion of a future or ongoing reservation. 

Declared public health emergencies and epidemics. Government-declared epidemics, pandemics, and public health emergencies. Please note that Book With Confidence does not cover cancellations arising from COVID-19.

Government travel restrictions. Mandatory travel restrictions imposed by a governmental agency, such as an evacuation order. This does not include non-binding travel advisories and similar government guidance.

Outages of essential utilities. Prolonged outages of essential utilities, such as heat, water, and electricity, impacting the vast majority of homes in Whistler. 

Natural disasters. Natural disasters and other severe weather events. Weather or natural conditions that are common enough to be foreseeable in a given location—for example, snow storms occurring during winter—are covered only when they result in another event covered by this Policy that prevents completion of the reservation, such as a mandatory evacuation order or large-scale outage of essential utilities.

What happens if a reservation is impacted by a covered Event

If you believe this Policy applies to your reservation, please contact us. We will guide you through the next steps, which may involve submitting the necessary documents and waiting for our team’s review.

We understand that other circumstances outside your control may disrupt your plans. In any situations not listed above, your reservation remains subject to the reservation’s cancellation policy.

Examples of common events not covered by this Policy include:

  • Events that impact a guest or their ability to travel, but not Whistler
  • Unexpected injury or illness
  • Government obligations like jury duty or court appearances
  • Non-binding travel advisories or other government guidance that fall short of a travel ban or prohibition
  • Cancellation or rescheduling of an event for which the reservation was made
  • Transportation disruptions unrelated to a covered Event, such as airline insolvency, transportation strikes, and road closures due to maintenance

Guest Policies and Property Guidelines

Minimum Age Requirement

The minimum age to book properties with 4 or more bedrooms is 30 and 25 for other properties.

Whistler Platinum recognizes its duties and responsibilities under the British Columbia Human Rights Code. Nothing in these terms, conditions and booking policies limits an individual’s ability to seek reasonable accommodation based on their protected characteristics, including age, in the provision of accommodations offered by Whistler Platinum. To the extent that there is any conflict between these booking policies and the Code, the Code shall prevail to the extent of the inconsistency. Maximum Occupancy and Visitors

Only the number of adults and children listed in your reservation are permitted to stay in the property.

Property Damage Protection Plan

The Property Damage Protection Plan is a one-time per-reservation non-refundable fee that provides a damage waiver that covers accidental or inadvertent damages to the rental home like carpet spills, broken glasses or kitchenware, and stains on furniture. This damage waiver is provided by and administered by Whistler Platinum and is not an insurance policy. The value waived is based on the property size and location and is outlined below.
$29 Provides up to $1,000 damage protection
$49 Provides up to $1,700 damage protection
$69 Provides up to $3,000 damage protection
$99 Provides up to $5,000 damage protection

Pre-Authorization

Whistler Platinum will process a pre-authorization of $150.00 on a valid credit card at check-in. Guest (s) will either be required to sign a credit card authorization slip for the amount of the security deposit or enter their PIN for CHIP enabled credit cards. Cheques will not be accepted. The Manager may capture part or all of the security deposit to cover costs for excess cleaning, property damage, missing inventory, and noise violation fines imposed by strata or the municipality.

Extra Person Charges

Rates are based on the designated number of guests for the property. Adults sleeping on a pull out sofa bed in the property or requiring a rollaway bed will incur extra charges as follows: $50.00 CAD per person per night plus taxes. There is no additional fee for children under 18 years of age. All properties are able to accommodate at least one baby cot for infants. If the property you have rented has King Split bed(s), please indicate on the Pre Arrival form whether you wish the bed(s) to be made as 1 King or as 2 Twins. Guests cannot exceed the maximum occupancy of a property. The maximum occupancy is clearly noted on each property page.

Check-in/Check-out Times

Rates are based on the designated number of guests for the property. Adults sleeping on a pull out sofa bed in the property or requiring a rollaway bed will incur Please note that check-in is from 4 pm on the day of arrival and check out is at 10 am on your day of departure. If you would like to guarantee a late check out or early check in, consider adding an additional day to your reservation. We are seldom able to grant early check-ins or late check-outs during peak seasons.

Currency and Tax

All rates are quoted and charged in Canadian Dollars (CAD$). In the event of tax alterations by the government, Whistler Platinum reserves the absolute right to collect the revised tax without prior notice.

Garbage

Each complex has a garbage room. It is the responsibility of the guest to remove garbage. To protect wildlife in Whistler please do not leave garbage outside.

Guest Pre-Arrival Forms

Whistler Platinum must receive completed guest pre-arrival forms with requested bed configurations, the number of people staying in the property and expected time of arrival a minimum of 15 days prior to arrival date, or reservation may be subject to cancellation.

Hot Tubs

Whistler Platinum ensures that all private hot tubs are maintained regularly. Guest use hot tubs at their own risk. The strata management company for the complex maintains communal hot tubs. If you experience any problems, please call our office. Occasionally, tubs may need to be shut down for maintenance. This maintenance is unavoidable and is to protect the health of users, which may result in the hot tub not being available for an extended period of time. If a hot tub is not able to be used due to mechanical failures for longer than 24 hours, the guest will be entitled to a 10% reduction in the nightly rent for all nights affected. For common and communal hot tubs, this amount is capped at $100 per night affected.

Liability Disclaimer

Prices for Accommodation and packages are subject to change without notice, and reservations are based on availability. The information, products, and services published on this website may include inaccuracies or errors, including pricing errors. In the event that Accommodation or packages are listed or provided to us at an incorrect price or with incorrect information due to typographical error or other error in pricing information, Whistler Platinum Reservations Ltd expressly reserves the right to correct any pricing errors on our website and/or on pending reservations made under an incorrect price. In such event, if available, we will offer you the opportunity to keep your pending reservation at the correct price or we will cancel your pending reservation without penalty.

Limit of Liability

The booking guest and all members of the said guest’s party (the “Guests”) agree to conform to all notices, rules and instructions in and about the home. Guests are responsible for their own conduct and that of any invitees. Manager reserves the right, in its sole discretion, to refuse or interrupt occupancy in the event of any non-fulfilment or breach of rental conditions. Neither the Property Owner nor Manager shall be held liable for any losses, claims, damages, costs or expenses arising out of any theft, accident, injury, death, damage, delay, inconvenience or distress, whether or not arising by the negligence of the Property Owner or Manager and the Guests hereby waive any and all such liability.

A confirmed reservation by e-mail constitutes notice to Guests of these exclusionary terms and Guests are deemed to have read and agreed to the foregoing. The Guest booking this accommodation is responsible for making all members of the party aware of these terms, failing which the said Guest will be held liable to and shall save harmless and indemnify the Property Owner and Whistler Platinum, from any losses, claims, damages, costs or expenses arising as a result thereof.

Should the property become uninhabitable or unavailable, Manager reserves the right to substitute another property for the one which has been booked, with every attempt made to provide a property or properties of similar or better quality. A confirmed reservation by email constitutes notice to Guests of these terms and they are deemed to have read and agreed to the foregoing and to have irrevocably authorized Whistler Platinum accordingly.

Multiple Properties

Please note that all properties are privately-owned and are equipped according to the individual owner’s taste and requirements. Groups renting more than one property need to make sure inventory stays in the property. A restocking charge will be deducted from the security deposit if items have been moved to other properties.

Non-Smoking

All of our properties are non-smoking. We ask that you respect this rule for the comfort of all guests. A $500 additional housekeeping fee will be imposed for any violation.

Parking

Every unit has assigned parking. Most properties accommodate parking for only one or two vehicles. Please ensure that you are parked in the correct stall assigned to your unit. Parking elsewhere may lead to your car being towed at your own expense. If someone has incorrectly occupied your assigned stall, please use a VISITOR stall and contact our office immediately. Please note that all complexes are privately owned and managed and Whistler Platinum cannot guarantee that your car will not be towed if parking procedures are not followed.

**Please note that paid parking is applicable for all units in Le Chamois Hotel, The Aspens, and Glacier Lodge and is payable by the guest on site.

Pets

Pets are permitted only in designated pet-friendly properties. We ask that you leave your pets at home as they will be refused entry to a non-designated property. There will be a $500 fine for any pets or evidence of pets found in any non-designated pet-friendly units.
